By-Laws for the Lambda Omega-Zeta Alumni Association
ARTICLE I
1. Name: The association will operate as the Lambda-Omega Zeta Alumni Association.
2. Laws: Lambda Omega-Zeta Alumni Association will follow the laws and rituals set forth by the Lambda Chi Alpha Fraternity
ARTICLE II
1. The purpose of this association is to maintain relations with alumni in good standing and to promote the ideal of fraternity for life.
2. In addition to providing services to alumni the association will also provide assistance and support to the undergraduate Lambda Chi Alpha, Lambda-Omega Zeta.
ARTICLE III
1. Governmental Power: Governing Power:
a. First: Ritual of Lambda Chi Alpha
b. Second: The By-Laws of Alumni Association
c. Third: Association Minutes and Rulings of the Alumni Association Officers
ARTICLE IV
1. Regular Meetings: There will be two meetings per year. One will be held in the fall at an alternating location where there is a significant population of alumni. The second meeting will be held following spring ritual in Mt. Pleasant.
2. Special Meetings: Special meetings may be called by the officers in case of urgent necessity. Action taken by the special meeting shall be binding on the association only if provided notice thereof by e-mail or phone call at least one week prior thereto and the notice states specifically the purpose of the meeting.
3. Rules of Order: Roberts’s rules of order, in the absence of other rules shall govern the conduct of the meeting in this association.
4. Events: There will be at least one major alumni association event, not including ritual or homecoming.
ARTICLE V
1. President:
a. Delegates alumni association activities to the alumni association officers
b. Oversees communication to alumni of all association activities
c. Serves as the liaison to the Grand High Zeta and the General Fraternity headquarters
d. Oversees alumni association’s funds and assets
e. Chairs meetings of the alumni association
2. External Vice President:
a. Coordinates all alumni fundraising events, activities and efforts
b. Organizes an annual or semi-annual large scale alumni event
c. Assumes the responsibility of the president in his absence
3. Internal Vice President:
a. Oversees the planning and implementation of small scale, periodic alumni events
b. Assists in maintaining updated alumni records and other data
c. Implements membership recruitment
4. Secretary:
a. Oversees all alumni communications including newsletters and mailings
b. Takes and maintains minutes of all alumni association and officer meetings
c. Maintains and updates alumni records
d. Oversees the recording, printing and distribution of an alumni directory
5. Treasurer:
a. Manages the receipt and disbursement of funds
b. Prepares an annual financial statement
6. High Rho Liaison:
a. Serves as an alumni advisor to the High Rho and his area of programming
b. Assists the High Rho in establishing time frames for alumni newsletters and events
c. Assist in coordinating joint chapter and alumni association newsletters and events with the High Rho
d. Responsible for alumni association newsletters
7. Elections: Elections shall be held between the dates of April 1, and April 31. New officer elections shall take place every 2 years or as needed. Elections will be held at the spring meeting.
8. Qualifications: Officers must be paid members of the alumni association, in good standing.
9. Executive Duties: Review and update the By-Laws of the association annually
ARTICLE VI
REQUIREMENTS FOR MEMBERSHIP
1. Alumni in good standing with the undergraduate chapter and who has a degree from a four year institution
2. Membership to be determined by above qualification, officer review if needed, and completion of membership agreement
ARTICLE VII
DUES
1. Dues are $25 a semester or $50 dollars a year for working alumni. Complementary membership will be extended to alumni who are full-time graduate or doctorate students. Complementary members will have to pay to receive certain member benefits.
2. Dues are owed August 1 of every year.
3. Dues will split into three general categories
a. Association Operations 40%
b. Undergraduate Fund 40%
c. Long Term Fund 20%
4. Any left over funds from operations will be dispersed into undergraduate fund and long term fund as determined by officers
5. Undergraduate donations to be earmarked per association’s wishes
6. Any unpaid dues will be considered an act of resignation
7. Donations: Donations made to the alumni association will be accepted above and beyond association dues.
ARTICLE VIII
COMMUNICATIONS
1. Quarterly Chopper Chant newsletters will be sent by e-mail.
2. Posted minutes sent via e-mail
ARTICLE IX
EXPULSION AND RESIGNATION
1. Lifetime membership is assumed unless notified to officers in writing or dues are not paid.
2. Any members who conduct themselves in a manner that reflects poorly upon the association can be removed by a majority vote of members present at a special meeting
3. Members who cause damage to the house or fraternity property during a visit will be billed for the damages.
ARTICLE X
VOTING
1. All association matters which require a vote will be determined by a majority vote of all members present at the time the vote is taken. A member must also be in good financial standing with the alumni association.
